Real Estate Agencies have access to information 24 hours a day
Hilversum, 5 February 2010 – IT service provider Inter Access expands the front office services for the municipality of Alkmaar with ‘Makelaarsinformatie’ (real estate information). This system enables the municipality to register information applications of real estate agencies; whether they arrive by mail or through their Personal Internet Page (PIP). Subsequently, the municipality is able to process the application in its back office. Because it is linked to the Inter Access WebNext Zaak system, Makelaarsinformatie offers real estate agencies 24x7 insight in the correspondence and status of their information application.
The add-on of Makelaarsinformatie is part of the strategy of the municipality of Alkmaar to offer every municipal service electronically to its citizens, companies and other partners. As soon as a DigID (digital ID) for companies is available, municipal clients are able to consult all the correspondence through their Personal Internet Page (PIP) and see the status information. In order to support this service, a seamless link between front, mid and back office has been made. The municipality of Alkmaar approached Inter Access some five years ago, to realize this real estate system on the basis of their WebNext Zaak system. Inter Acces integrated WebNext with the open source Document Management System (DMS) Alfresco in October 2009. Alkmaar deploys Alfresco as a municipal-wide DMS. Makelaarsinformatie is the first municipal service to use DMS.
Combining the WebNext Zaak system, the workflow system COSA and Alfresco provides smooth and automated processes within the municipal organization of Alkmaar. Applications for lot information from real estate agencies (by fax, mail and digital window), are stored in Alfresco. It is also possible for an application to reach the municipal organization through a Personal Internet Page in WebNext. In both cases a workflow forms the basis of processing applications and generating feedback by the back office. Also information about file access, extra documents and correspondence are archived in Alfresco with the correct characteristics. In this way, clients always have one, immediately accessible overview of all the information on a specific case.

After Makelaarsinformatie, Inter Access will implement digital document routing, like mail processing, and the switch from BRIS (an information system for administration and council information) to process driven information processing. This phase will be completed in May 2010. Moreover, Inter Access will support the municipality of Alkmaar in making Alfresco operational as a municipal-wide DM system. This phase, completed in April 2010, will form a solid basis for paperless services, compliant with the municipality’s CSR strategy.
